The operating system for creative studios — projects, tasks, standups, ideas, knowledge, and Omos, the studio brain that reads your data and does real work with you, in one place.

The 3-minute mental model: your studio runs on a daily loop. Every morning Omos briefs you on the state of things → you check My Work for what's yours today → you post a standup (or ask Omos to draft it) → work moves across the board during the day → everything anyone does is visible to everyone, live. No status meetings, no "what's the latest on…?" messages.

β Beta tester briefing

You're using a real product with real billing — but it's beta, and your job (should you accept it) is to break it and tell us.

How to report anything

  • The Feedback tab (bottom-left, amber) — fastest path. Type what happened; the page you were on and your browser info are attached automatically. It goes straight to the team.
  • Emailinfo@pegbitstudio.com for anything longer (attach screenshots!).

A great bug report has three lines: what you did → what you expected → what actually happened. Thirty seconds of your time saves us thirty minutes of guessing.

Known limitations (not bugs — don't report these)

  • Chat doesn't notify you when you're away. Messages wait for you in-app. Push notifications are on the roadmap.
  • GitHub, Figma and Google Drive integrations show "Coming Soon" — only Slack and Discord webhooks are live.
  • Renaming workspace vocabulary (e.g. calling Projects "Productions") isn't in the UI yet.
  • Card payments run through Flutterwave for all regions, including international cards. Stripe is coming.

1 Getting started

  1. Sign up at sydence.com/signup — email + password, or Google. Already have an account? Entering the same email and password simply signs you in.
  2. Confirm your email. The link arrives from noreply@sydence.com — check spam the first time.
  3. Create your studio — name, URL slug, and your work categories (changeable later in Settings). On the last step you'll see a "Start with example data" toggle: leave it on to land in a fully-populated studio (sample ideas, a project on the board, a few standups), or switch it off for a clean slate. Either way, you can wipe the samples in one click from Settings → Sample data once your real work is in.
  4. Invite your team — Settings → Invite Team Members. Each person gets a personal link by email (valid 7 days), or use Get link to share it yourself. When someone joins, everyone's notified.
  5. Land on the Dashboard — a 60-second guided tour points out the essentials on first visit.

2 The daily rhythm

☀️ Your Daily Brief

On your first visit each day, Omos opens a briefing: tasks completed yesterday, active blockers, projects at risk, deadlines in the next 7 days, who's out, and standup participation — numbers first, detail underneath. Dismiss it and it stays away until tomorrow (it's also on the dashboard all day). The dashboard may also show a handful of proactive cards — an overdue task, a client update ready to review, an idea worth a second look.

✅ My Work

Your personal queue, in one view: every open task assigned to you across every project, grouped Overdue → This week → Later. It live-updates as things change — no need to hunt across projects to find what's yours.

📝 Standups

Standups page → three boxes: what you did, what you're doing, what's blocking you. Posting takes under a minute and feeds everything else — the Brief, project health, the team's shared awareness. Short on time? Ask Omos to draft it from your recent activity, then edit and send.

  • Blockers are loud on purpose — raising one notifies the whole team instantly. Resolving one announces it too.
  • Teammates' standups appear live as they post — no refreshing.
  • Omos may offer a private coaching tip if your update could be sharper.

3 Projects, board & tasks

The flow

Ideas → Project → Board → Done. Anyone can submit an idea; the team votes; admins move it through review. The submitter is personally notified at every verdict. Approved ideas convert to projects in one click.

Tasks — work never lands silently

  • Open any project card → the task panel. Add tasks, assign, set done.
  • Assigning a task pings that person immediately (bell + email) — nobody discovers their workload by accident.
  • Give a task a due date (date picker in the composer) and it shows a pill on the card: Today, Tomorrow, or the date. Once it slips past today, the pill turns red — done tasks never show as overdue.
  • When the last task is done, Sydence offers to move the project to Review for you.

Comments & @mentions

Every project has a comment thread. Type @FirstName to mention someone — they get a direct notification that cuts through even if they've muted general comment noise.

If a card move ever fails (e.g. you don't have permission), the card snaps back with a message saying why. It will never silently revert behind your back — if you see that happen, that's a bug we want to hear about.

4 Pipeline

Board = what's being worked on today. Pipeline = where the deliverable is in its journey. Two different questions, two different views of the same projects.

Six stages: Brief → In Production → Internal Review → Client Review → Delivered (plus Archived). Each card shows how long it's sat in its stage, with aging indicators when something's stuck. When every task on a project is done, Omos suggests advancing the stage — you confirm it, nothing moves on its own. Reaching Delivered announces it to the team. 🎉

5 Knowledge base

Your studio's long-term memory: processes, brand guidelines, client docs, onboarding checklists.

  • Write docs in markdown, generate them with Omos from a prompt, or upload PDF/DOCX (converted automatically).
  • Publishing announces the doc to the studio. Drafts stay private and silent.
  • Everything is AI-indexed — Omos cites your docs when it answers questions.

6 Omos — the studio brain

Omos reads your live studio data — projects, standups, team status, knowledge — and answers grounded in reality, with citations. It doesn't just answer questions; it does real work and takes real actions when you ask it to.

Monthly question quotas: Free 100/studio · Studio 450/studio (shared pool) · Enterprise 100/seat — plus a daily fair-use cap (10/45/20 per seat respectively) so one big day can't burn the whole month at once. Run out mid-month? Buy 100 more questions for $15 anytime on Studio/Enterprise (Enterprise tops up every seat) — unused questions roll over forever. Free plans upgrade to Studio instead of buying a top-up. Compose and right-click Ask Omos count against the same quota as chat.

7 Team chat

The chat bubble (bottom-right of every page) opens realtime chat: #general (everyone, automatic), extra channels (admins), and DMs with any teammate. Unread counts sit on the bubble.

Read receipts, WhatsApp-style: your last message shows a single check when sent, a double check once the other person (or, in a channel, at least one member) has opened the conversation and seen it.

Beta note: chat is in-app only right now — if you're away, messages wait for your return rather than emailing you. Push notifications are on the roadmap.

  • Settings → Notifications has two independent switchboards — in-app (bell) and email — each per event type.
  • Things aimed directly at you (task assignments, @mentions, verdicts on your ideas) always come through.
  • You never get notified about your own actions.
  • Emails batch every ~5 minutes; low-urgency signals roll into the Daily Brief instead of pinging.

9 Goals & analytics

  • Goals — quarterly OKRs per member with progress rings; updates sync live. (Studio plan+)
  • Analytics — velocity, cycle time, standup participation, blocker trends.
  • Project health — every project scores 0–100; red/amber projects surface in the Daily Brief before they become emergencies.
  • Benchmarking (Enterprise) — your stats vs. anonymized cross-studio averages.

You get an app icon, a standalone window, app shortcuts (long-press the icon → Dashboard / Board / Standups / Ask Omos), and a friendly offline screen when the connection drops.

12 Troubleshooting & FAQ

No confirmation emailCheck spam for noreply@sydence.com. Still nothing after 5 min → request again from the login page, then report it via the Feedback tab.
Invite email never arrivedThe invite exists anyway — ask an admin to copy the link from Team → Invites and send it directly.
"Signed up" but it says account existsIf your password matches, you're simply signed in. If not, use Sign in or reset your password.
Card move snapped backRead the toast — it explains why (usually permissions). Viewers can't move cards. If there was no message, that's a bug: report it.
Teammate's change isn't appearingIt should appear in ~1s on projects/board/ideas/standups/pipeline/goals. If not: refresh once, then report which page it was.
Omos refuses to answerYou've likely hit your plan's monthly Omos quota, or today's fair-use cap (resets midnight UTC) — buy more questions or upgrade from Settings → Billing, or wait for the cap to reset. Could also mean the feature needs Studio+.
Feature greyed out / "upgrade" pillThat feature belongs to a higher plan — see §10. Beta testers: redeem your promo code first.
Payment completed but plan didn't changeGive it ~30 seconds (webhook). If it persists, contact us with the email you paid with — never pay twice.

How do I download my data?Settings → Security → Export my data. You get a single JSON file with your account, every studio you belong to, your standups, ideas, tasks, comments, knowledge docs, and chat messages. Works on any plan, no waiting.
How do I delete my account?Settings → Security → Delete my account. If you're the sole owner of a studio with other members, Sydence blocks the delete and tells you to transfer ownership first — your team can't be orphaned. Otherwise it's permanent: account + personal data are wiped, content you authored in other studios stays with those studios.
I started with sample data — how do I clear it?Settings → Sample data → Remove sample data. One click; only owners/admins see the option, and it only touches the seeded items.
